Microsoft Excel: turn payroll checks into a repeatable process

Where it adds value

Power Query can support repeatable data preparation, while PivotTables and data models help summarise payroll information. Lookup formulas can match employee or pay-code records across exports. Availability varies by Excel version and environment.

The business benefit

Instead of rebuilding a comparison each cycle, a team can refresh consistent inputs and focus on exceptions. Excel is useful for payroll-to-ledger checks, employee change comparisons, overtime analysis and leave reconciliation.

The risks to control

Manual overrides, broken ranges, duplicate employee IDs and stale source files can produce misleading results. Separate inputs from calculations, document refresh steps and reconcile totals. Protect formulas where appropriate, control access and retain a reviewed version. Worksheet protection alone is not a privacy control.

A practical example

Compare current and prior pay by employee ID, flag new or missing employees and show changes in hours and gross pay. Require explanations for significant exceptions. A zero variance is only meaningful after checking the source population and completeness.
