One change, one accountable owner

A useful handover contains the employee reference, change type, effective date, approved instruction, intended pay period and evidence location. Keep sensitive documents in the approved system and reference them in the register instead of copying them into multiple emails.

Agree what “ready for payroll” means

HR confirms the authorised employment decision and supporting terms. Payroll checks that the instruction can be processed and identifies missing information. The reviewer checks the output against the instruction. The authorised client approver decides whether the pay run is ready for release. An incomplete request should have a named owner and a visible resolution date.

Fictional scenario: a promotion arrives after cut-off

Taylor’s promotion takes effect on Monday, but the signed instruction arrives after the payroll cut-off. HR records the effective date and confirms the new classification and rate. Payroll assesses the required adjustment and escalation route. The approver records whether to reopen the run or use another permitted correction process, after checking payment obligations. A missed internal deadline does not itself justify delaying wages.

A weekly handover meeting that earns its time

Review missing approvals, changes due in the next cycle, exits, unusual adjustments and open employee queries. Close each item only after payroll confirms processing and the reviewer checks the result. Use aggregate measures such as late inputs and reopened requests to improve the process without exposing employee details.
